​Welcome to Wavelength. These Terms and Conditions govern your use of our website www.wavelengththerapy.co and any therapy or related services you access through us. By using our website or booking a session with us, you agree to these Terms. If you do not agree, please do not use our website or services.

1. About Wavelength

Wavelength is a private practice offering culturally informed therapy, co-founded by Chandini Venkataramani and Priyanka Charan-Singh. Our practitioners hold relevant professional accreditations, including BACP / HCPC, and work within the ethical frameworks of their respective professional bodies.

2. Website Content

The content on this website — including blog posts, service descriptions, and practitioner profiles — is provided for general informational purposes only. It is not a substitute for a clinical assessment, professional advice, or therapy itself, and should not be relied upon as such. If you are in crisis or need urgent support, please contact your GP, NHS 111, or, in an emergency, 999 or your nearest A&E.

3. Bookings and Consultations

3.1. When you book an appointment or initial consultation with us, you agree to provide accurate and complete information.

3.2. We reserve the right to decline or end a therapeutic relationship where we consider it is not clinically appropriate or in your best interests. For example, where your needs fall outside a practitioner's scope of practice. Where possible, we will support you in finding an appropriate alternative.

3.3. Payments made for sessions with Wavelength are non-refundable and non-transferable, except where a session is cancelled with sufficient notice as set out below.

3.4. Ongoing sessions: You may reschedule or cancel a session at no charge provided you give at least 2 calendar days' notice. Where a session is cancelled, or you do not attend, with less than 2 calendar days' notice, the full session fee will be charged. This applies even where the reason is unforeseen, such as illness or a personal emergency.

3.5. Clients paying via private health insurance: The same notice period applies. If a session is missed or cancelled within 2 calendar days of the appointment, you will be responsible for paying the full fee yourself, as private health insurers do not typically cover missed or late-cancelled appointments.

4. Fees and Payment

4.1. Fees for sessions are as set out on our website or as agreed directly with your practitioner, and are payable in advance. 

4.2. We reserve the right to review and change our fees from time to time. Any change will not affect sessions already booked and paid for.

4.3. Where you have an outstanding unpaid invoice, we will not offer further appointments until the invoice has been paid in full.

5. The Nature of Therapy

5.1. Therapy is a collaborative process, and outcomes cannot be guaranteed. Engaging with difficult thoughts, feelings, or experiences can at times be uncomfortable or bring up distress. Where this happens, we encourage you to discuss it openly with your practitioner, either in the moment or in a following session.

5.2. Even where a session brings up difficult feelings, or you are dissatisfied with how it went, the session remains chargeable in line with our cancellation and fees policy above.

6. Confidentiality and Data

6.1. We take your privacy seriously. Please see our Privacy Policy for full details of what personal data we collect, why, and how it is protected, in line with UK GDPR.

6.2. As part of providing psychological therapy, we are required to keep clinical notes and records. These are held securely and retained for a minimum period in line with professional and legal record-keeping requirements. This is currently a minimum of 7 years, though this may be longer depending on the client's age and circumstances at the time of treatment.

6.3. Confidentiality within therapy is subject to limits set out by law and professional codes of ethics. For example, where there is a serious risk of harm to you or others, or where disclosure is required by a court. Any such limits will ordinarily be discussed with you at the outset of therapy.

7. Clients Based Outside of the United Kingdom

Our practitioners work in line with clinical and regulatory standards applicable in England and Wales, which may differ from those in your own country of residence. If you are based outside England and Wales, please note this before engaging our services, as it may affect matters such as professional indemnity coverage and applicable regulation.

8. User Conduct

You agree to use this website only for lawful purposes, and in a way that does not infringe the rights of, or restrict or inhibit the use of the website by, any other person. You must not upload or transmit viruses, malicious code, or engage in conduct that could disrupt or harm our services.

9. Intellectual Property

All content on this website, including text, logos, and design, is owned by or licensed to Wavelength Therapy and may not be copied, reproduced, or used without our prior written permission.

10. Liability

To the extent permitted by law, Wavelength Therapy shall not be liable for any indirect or consequential loss arising from your use of this website. Nothing in these Terms limits our liability for matters that cannot be limited or excluded under English law, including death or personal injury caused by negligence.

11. Complaints

If you have a concern about your therapy or our service, we encourage you to raise it directly with your practitioner in the first instance. If you feel unable to do so, or are not satisfied with the response, you can contact us at admin@wavelengththerapy.co, or escalate to the relevant professional body - BACP / HCPC.

12. Changes to These Terms

We may update these Terms from time to time. Changes will take effect once posted on this page, and your continued use of our website or services after that point constitutes acceptance of the updated Terms. We encourage you to review this page periodically.

13. Governing Law and Jurisdiction

These Terms, and any dispute arising from them or from your use of our website or services, are governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction, including for clients residing outside England and Wales.
